Cancellation Policy

1. Introduction

This Cancellation Policy outlines the terms under which cancellations can be made for services provided by Faery Snail Tours. By booking with us, you agree to the terms specified in this policy.

2. Cancellations by the Client

Notice Periods and Refunds:

• More than 30 days before the tour start date:
  • A full refund will be issued, minus a [10%] administrative fee to cover processing costs.
• 15-29 days before the tour start date:
  • 50% of the total booking amount will be refunded.
• 14 days or less before the tour start date:
  • No refunds will be provided.

How to Cancel:

• Cancellations must be made in writing via email to customercare@faerysnail.com.
• The cancellation date is determined by the date the cancellation request is received by Faery Snail Tours.

3. Cancellations by Faery Snail Tours

Unforeseen Circumstances
In the rare event that we cancel a tour due to Force Majeure (natural disasters, political unrest, or other unforeseen circumstances), you will receive:

• A full refund of all payments made to Faery Snail Tours; or
• A credit voucher of equivalent value for a future tour.

Faery Snail Tours is not liable for additional expenses incurred by the Client (e.g., non-refundable flights or visa fees).

Insufficient Participants
If a group tour does not meet the minimum participant threshold, we reserve the right to cancel the tour and will issue a full refund or credit for future use.

4. Non-Refundable Costs

Certain costs are non-refundable regardless of cancellation timing, including but not limited to:

• Third-party bookings (e.g., flights, hotel rooms, or special activities booked through third parties).
• Custom or private tour arrangements involving non-refundable deposits.

5. Amendments and Rebookings

If you wish to modify your booking (e.g., change tour dates or participant names):

• Requests must be made at least 30 days prior to the tour start date.
• Modifications are subject to availability and may incur additional fees.
• For rebookings due to unavoidable personal circumstances (e.g., medical emergencies), we may offer a one-time rescheduling option at our discretion, with no additional cost for tours rebooked within 12 months.

6. Travel and Cancellation Insurance

Faery Snail Tours highly recommends that customers purchase comprehensive travel and cancellation insurance to cover unforeseen circumstances that may require trip cancellations, medical emergencies, and other unforeseen events.

While we strive to assist with cancellations within the limits of our policy, any refunds or changes are subject to the terms agreed upon at the time of booking.

Customers can inquire about recommended cancellation insurance providers for additional coverage.

7. Force Majeure

Faery Snail Tours is not responsible for cancellations or disruptions caused by Force Majeure events, including but not limited to:

• Natural disasters (earthquakes, floods, etc.).
• Government restrictions or political unrest.
• Pandemics or other public health crises.

In such cases, refunds or credits will be issued at Faery Snail Tours’ discretion.

8. No-Show Policy

Clients who fail to appear at the designated time and location without prior notification will forfeit their booking. No refunds or credits will be provided.

9. Refund Processing

Refunds will be processed within 14 business days of the cancellation confirmation.

Payments made by credit card will be refunded to the original payment method.

Refunds for payments made via bank transfer may take additional time, depending on banking institutions.

10. Legal Framework

This Cancellation Policy is governed by the laws of the Netherlands.

In case of any disputes arising from cancellations or refunds, the competent court in Utrecht, the Netherlands, will have jurisdiction, unless otherwise dictated by applicable consumer protection laws.
